>_ tick·it
A support operations platform designed to manage ticket lifecycles, team assignment and customer issue resolution.
Workflow Overview
Tick-It was built around a structured ticket lifecycle designed to improve ownership, accountability and visibility throughout the support process. Requests move through clearly defined stages, ensuring tickets are routed to the appropriate teams and resolved efficiently.
01 / Ticket Submission
Customers submit support requests through a dedicated ticket creation form, providing the information required for effective triage and issue resolution. Each ticket immediately enters a structured workflow that enables visibility and ownership from the moment it is created.
02 / Team Routing and Ownership
New tickets are reviewed and routed to the most appropriate support team. Once assigned, responsibility is transferred to an individual support agent, creating clear accountability throughout the ticket lifecycle.
03 / Resolution Lifecycle
Tickets progress through a number of defined states, including In Progress, Parked and Resolved, before being closed. This ensures both customers and support staff can track the current status of a request at any point in time.
Key Features
01 / Role-based access control
Customers, support agents and managers each interact with Tick-It through role-specific permissions and interfaces. By restricting access to information relevant to each user's responsibilities, the platform maintains data privacy while ensuring support staff have the visibility required to resolve customer issues efficiently.
02 / Team assignment and ownership
Support requests can be assigned to specialist teams and subsequently delegated to individual support agents. This ownership model creates clear accountability throughout the ticket lifecycle while preventing requests from becoming lost within shared support queues.
03 / Ticket lifecycle management
Tickets progress through a series of controlled states, including In Progress, Parked, Resolved and Closed. These status transitions provide transparency for both customers and support staff while helping ensure requests are managed consistently from submission through resolution.
04 / Customer visibility and tracking
Customers can monitor the progress of their own support requests through a dedicated dashboard while remaining isolated from tickets belonging to other users. This approach provides transparency throughout the support process without compromising privacy or exposing sensitive customer information.
05 / Ticket activity history
Every ticket maintains a historical record of status changes, ownership updates and support interactions throughout its lifecycle. This audit trail provides visibility into how a request has progressed over time, helping customers and support staff understand the current status of an issue and the actions taken to resolve it.
Application Design
Tick-It was designed around accountability, visibility and structured workflows. Role-based access control, ticket ownership and lifecycle management work together to ensure requests can be tracked and resolved efficiently across multiple teams.
User Profiles and Role Management
The application extends Django's authentication system to support multiple user roles, including customers, support agents and managers. Each role is provided with a tailored experience and access level, ensuring users only interact with the functionality required for their responsibilities.
Team Assignment and Ownership Model
Tickets are associated with both support teams and individual agents, allowing responsibility to be clearly defined throughout the support process. This ownership model creates accountability while helping organisations manage workloads across specialist teams.
Ticket-centric Workflow Design
The Ticket model serves as the core entity within the application, linking users, teams, ownership information and lifecycle status updates. By centralising workflow activity around a single record, Tick-It provides a consistent view of each request from submission through resolution and closure.
Future Development
01 / SLA Management and Escalation Rules
As ticket volumes grow, support teams may benefit from more structured service-level management. While the current workflow provides ownership and status tracking, response times are not formally measured or enforced. Potential Improvement: Introduce SLA targets, automated escalation rules and response-time tracking to help teams prioritize urgent requests and maintain service standards.
02 / Notifications and Status Alerts
Customers and support staff currently rely on the application dashboard to monitor ticket updates. While this provides visibility, important changes may be missed if users are not actively using the platform. Potential Improvement: Implement automated email or in-application notifications when tickets change status, are reassigned or receive updates.
03 / Reporting and Analytics
Tick-It currently focuses on ticket resolution rather than operational reporting. As support operations scale, managers would benefit from additional insights into workload distribution and team performance. Potential Improvement: Add dashboards and reporting tools to track ticket volumes, resolution times, team workloads and support trends over time.
04 / Internal Notes and Team Collaboration
Support interactions are currently visible through ticket updates and status changes. More complex workflows may require internal collaboration between support agents and teams during the resolution process. Potential Improvement: Introduce internal notes and staff-only comments, allowing teams to collaborate without exposing operational discussions to customers.
